Who we are

What personal data we collect

Depending on how you use the site: (a) Contact and quote data — name, email, phone, and any project details you enter (document type, language pair, deadline). (b) Order and billing data — name, email, phone, billing and delivery address, and, if you choose to provide it, your NIF/VAT number for invoicing. (c) The content you send us — the documents, text, audio or video files you submit for translation, revision, subtitling, transcription or interpreting preparation. (d) Technical data — standard web server logs (IP address, browser type, pages visited) and, only if you consent, Google Analytics 4 usage data. (e) Cart data — the contents of your shopping cart, stored in your browser's local storage on your device, not on our servers, so we can remember it between visits.

Why we collect it and our legal basis

We use contact/quote data and order/billing data to respond to your enquiry, provide a quote, and perform the contract when you place an order (Article 6(1)(b) GDPR — necessary for the performance of a contract, or to take steps at your request before entering one). We use the content you send us solely to carry out the translation, revision, subtitling, transcription or interpreting service you ordered (also Article 6(1)(b)). We keep basic order/invoice records to meet our legal obligations under Portuguese tax and accounting law (Article 6(1)(c)). We use Google Analytics 4 only with your consent (Article 6(1)(a)), given through the cookie banner; if you decline or later withdraw consent, no analytics data is collected about you.

Who we share it with

We don't sell personal data. It may be seen by: the translator and reviewer assigned to your project (only the content and details needed to do the work); our web-form and hosting providers, acting as processors, strictly to operate the site and deliver your enquiry or order to us; and, only with consent, Google, as the provider of Google Analytics 4 — Google may process data outside the EU/EEA under its own standard contractual safeguards. We disclose personal data to public authorities only where required by law.

How long we keep it

Contact-form enquiries that don't turn into an order are kept for up to 12 months, then deleted. Order data and the files you send us are kept for as long as needed to deliver the work and to support the 14-day amendment window described in How it works, and are removed within 30 days after that window closes. Invoice and accounting records are kept for the period required by Portuguese tax and accounting law (currently ten years). Where analytics consent is given, Google Analytics data is retained per Google's standard retention settings until you withdraw consent.

Your rights

Under the GDPR you can ask us to: access the personal data we hold about you; correct it if it's inaccurate; erase it; restrict or object to its processing; receive a copy in a portable format; and withdraw consent at any time (which doesn't affect processing carried out before the withdrawal). To exercise any of these, email support@naomitranslates.com. You can also lodge a complaint with Portugal's supervisory authority, the CNPD (Comissão Nacional de Proteção de Dados), at www.cnpd.pt.

We use reasonable technical and organisational measures to protect the data you share with us, appropriate to a small professional practice handling client documents.

If we change this policy, we'll update the "last updated" date above; material changes will be reflected clearly on this page.
